Name the real load
Start with item evidence, not a broad label
Two objects described with the same everyday word can have different construction, weight, balance, value and handling requirements.
Begin with an item record that another person can verify. Add the maker, model, serial or product reference where appropriate, the assembled dimensions, any known packed dimensions and a weight taken from a maker document, data plate or other reliable record. If the weight is unknown, write unknown. Do not estimate it from appearance or replace a missing figure with a universal lifting limit.
Photograph every side, the base, the top, handles or approved lifting points, feet, casters, doors, lids, frame, glazing and visible damage. Record loose, removable or locked parts without deciding that they should be taken off. Attach the current maker instructions when they exist. A piano manual may specify professional handling. A safe may have anchoring or installation instructions. Artwork may have a condition, packing or environmental requirement from its maker, framer, conservator, gallery or insurer.
Add ownership and authority. The booking contact should be able to approve collection, provide keys or codes where appropriate, declare contents that affect lawful transport, and obtain any building permission. Keep passwords, safe combinations and sensitive ownership records outside the general crew note. The useful record identifies who holds them and when they will be provided.

Use four outcomes instead of a vague yes or no
A good enquiry ends with a named outcome, an owner and a next action, not a reassuring promise that the team will work it out on arrival.
Use the decision table after the item record and both routes have been reviewed. It is a routing aid, not a lifting assessment and not an acceptance certificate. A regular removal review can still conclude that different resources, a revised booking or a specialist are required.

Apply the most cautious unresolved outcome. A suitable doorway does not clear an unknown vehicle load. A known weight does not clear a stair turn. A strong crate does not clear a hoist. Written acceptance must cover the whole chain from the item position at collection to its agreed position at delivery.
Collection to placement
Survey both addresses as one continuous route
The difficult point may be far from the item, so the survey must follow every movement from its current position to its final placement.
At the collection address, record the item room, usable door openings, corridors, turns, landings, stairs, lift dimensions and rating information, thresholds, ramps, surface condition, gradients, gates and the distance to the proposed vehicle position. Repeat the same survey at delivery. Photograph each constraint from both directions with a clear reference for scale, and label every image with the address and route segment.
Do not assume that casters, a domestic stair, a passenger lift or an improvised ramp is suitable because it has carried something else. HSE guidance requires the task, load, environment and individual capability to be considered. Its pushing and pulling guidance also notes that surfaces, small obstructions, slopes and outdoor conditions can materially change the force and risk. The removal provider or specialist must select any handling method after seeing the real route.
Record permissions separately. A concierge time slot does not approve the lift rating, a parking suspension does not approve equipment on the footway, and an open window does not approve external lifting. If any route depends on removing a fixed door, handrail, window, wall section or other building element, stop the ordinary route review until the property owner and an appropriate building professional have dealt with that separate question.
Three item families
Ask item specific questions without inventing a method
Pianos, safes and artwork raise different evidence questions, and the customer record should expose those questions without teaching an unassessed handling technique.
For a piano, state whether it is digital, upright or grand, then record the maker, model, dimensions, documented weight, condition and current position. Add any maker requirement for a professional piano mover, approved carrier or technician. Record steps, turns and destination placement. Do not assume that legs, pedals, lids or other parts should be removed, or that fitted casters are transport equipment.
For a safe, record the make, model, dimensions, documented empty weight, whether it contains anything, and whether it is bolted, built in or attached to a plinth. State who can lawfully open it and who is responsible for any approved deinstallation. Do not ask a removal crew to unbolt, force, drill or dismantle it unless that work has been separately assessed and confirmed in writing.
For artwork, identify the medium, frame, glazing, dimensions, condition, declared value and any instructions from the artist, framer, conservator, gallery or insurer. State whether a crate, courier, condition report, orientation, environmental control or supervised installation is required. Do not describe an ordinary covered van as climate controlled or conservation suitable.
The shared question is not whether the item looks manageable. It is whether the proposed people, equipment, route, vehicle, restraint system, cover and handover are suitable for this exact item.
Equipment boundary
Separate manual handling from lifting equipment
A trolley can change a carrying task, while a hoist, crane, tail lift or other lifting operation creates its own planning and competence requirements.
HSE says hazardous manual handling should be avoided where reasonably practicable, assessed where it cannot be avoided and reduced as far as reasonably practicable. It does not set one safe weight for every person and situation. Weight is only one factor alongside shape, stability, grip, posture, carrying distance, turns, floor condition and the people doing the work.
Wheeled aids can reduce carrying, but they do not automatically make the task low risk. The provider must consider the combined weight of the item and aid, wheel condition, starting and stopping force, gradients, thresholds, debris, space and control on the route. A customer photograph of a trolley is not evidence that the trolley is rated, maintained or suitable.
If the plan involves lifting equipment, HSE guidance says the operation must be properly planned by a competent person, appropriately supervised and carried out safely. Equipment must be fit for purpose and appropriate for the task. Do not hire a machine, nominate an anchor point or propose a window lift on behalf of the operator. Send the route and item evidence, then let the responsible provider state the equipment, capacity, positioning, exclusion area, permissions, people and method it requires.
Transport gate
Require a vehicle and load security plan
Clearing the doorway is only the start, because the item must also be stable, restrained, transported and unloaded without creating a new hazard.
Record the vehicle proposed for the item, its usable access, payload information relevant to the actual load and the planned position of the item. The Driver and Vehicle Standards Agency requires secure loading for every vehicle type, item size and journey distance. Its guidance also says the securing system must suit the load and vehicle, and a load plan can record weight, position, restraint, unloading instructions and precautions.
Ask the responsible provider to confirm how the item will remain stable and what prevents sliding, toppling or bouncing. Do not prescribe straps, chains, chocks, bracing or contact points from a general article. The correct system depends on the item construction, approved attachment points, vehicle body, other goods, route and unloading order. Packaging must allow the item to be secured rather than conceal unstable or unsuitable features.

If the provider cannot identify a suitable vehicle and securing system before collection, the item stays at the request evidence or specialist review outcome. A short journey does not remove this gate.
Written acceptance
Confirm scope, cover and handover in writing
A quotation for a household move does not automatically accept every item shown in a photograph or mentioned after booking.
The written confirmation should identify the item, collection and delivery positions, accepted preparation, packing responsibility, handling boundary, equipment, vehicle, crew plan, route permissions and any specialist involvement. It should also identify exclusions and the event that would stop work, such as a different weight, inaccessible route, unapproved alteration, failed lift, unsuitable equipment or changed item condition.
Do not treat a headline insurance figure as proof that the item, declared value, cause of loss or proposed method is covered. Ask for the applicable policy or contractual terms, exclusions, excess, valuation requirements, evidence rules and any insurer approval needed for the actual item. Agree the handover evidence. Useful records include dated condition photographs, a packing or crate reference, item count, seal number where relevant, named collection contact, named delivery contact and any specialist report. Keep private codes, exact valuations and sensitive documents only with people who need them.

Send one decision pack before requesting acceptance
A compact, labelled pack lets the reviewer see the same item and route facts without reconstructing them from scattered messages.
Create one folder with the item sheet, source of weight, maker instructions, current condition record, pickup route survey, delivery route survey, permissions, proposed dates and open questions. Name files by address, route segment and view. Add a one page index that marks each unknown rather than hiding it.
