This notice explains what we collect when you request a quote, book a move, pay online, send walkthrough files, contact us, or use this website.

Clear privacy information for quotes, bookings and removals.

Men With Van is a trading name of QUE REMOVAL LTD. We use your information to price and manage removals, confirm bookings, take secure payments, prepare the team, send receipts, handle support, meet legal duties and improve the website where you have allowed analytics cookies.

We do not sell your personal information. Card details are entered through our secure payment provider; we do not see or store full card numbers.

2. Information we collect

We collect only what is needed to quote, book, manage and support a removal service. Depending on how you use the site, this may include:

  • Quote details: postcodes, route distance, move type, date, arrival window, vans, movers, booked hours, floors, stairs, lift details, congestion-zone status, extra stops, packing choices and item notes.
  • Customer and booking details: name, phone number, email address, full pickup, delivery and extra-stop addresses, access notes you choose to provide, payment choice, promo code use and terms acceptance.
  • Optional pack-and-move walkthrough files: videos, photos, PDFs or documents you upload or send so the team can prepare packaging materials and plan the move.
  • Payment records: payment identifiers, payment status, amount paid, receipt information, VAT/accounting records and any follow-up payment links. We do not store full card numbers.
  • Communications: emails, call notes, SMS, WhatsApp messages, customer support notes, review requests and responses.
  • Operations records: team assignment, job sheets, calendar entries, route notes, completion records, signed job completion information, overtime and additional-charge records.
  • Website and security information: cookie choices, analytics events where consent is given, device/browser information, IP-related logs, form errors and security logs.
  • Reviews: public Google review information where shown on our reviews page or used to respond to customer feedback.

3. Where information comes from

Most information comes directly from you when you use the quote form, complete a booking, upload files, make a payment, call, email or message us. We may also receive limited information from our payment provider, Google services, our website host, analytics tools where you have consented, and the team members assigned to complete your move.

5. Cookies, analytics and similar technologies

Essential storage is used to run the quote and booking journey, remember cookie choices, keep payment return pages working and support website security. We only load Google Analytics after you choose to allow analytics cookies. Advertising cookies are not loaded by our tracking script unless you choose to allow them and we add an advertising feature later.

6. Who we share information with

We share information only where needed to run the service, meet legal obligations, protect the business, or use suppliers who support the website and booking process. This may include:

  • Stripe, our payment processor, for secure payment processing, receipts, payment links and payment status.
  • Email, hosting, storage, calendar, analytics and website-service providers.
  • Google services where relevant, including Google Analytics after consent, Google Calendar job records and Google Business Profile review links.
  • Assigned movers, drivers, operations staff and contractors who need booking details to complete the move.
  • Insurers, accountants, legal advisers, HMRC, regulators, law enforcement or courts where required.
  • WhatsApp or phone providers if you choose to communicate with us through those channels.

7. International transfers

Some technology providers may process information outside the UK. Where this happens, we expect providers to use appropriate safeguards such as UK-approved contractual clauses, adequacy arrangements or equivalent protections required by data protection law.

8. How long we keep information

We keep information for only as long as it is needed for the reason it was collected, plus any legal, accounting, tax, insurance or dispute period. Typical retention periods are:

  • Incomplete quote drafts, unpaid booking attempts and lead records: automatically deleted after 14 days if the booking is not completed.
  • Walkthrough files not connected to a confirmed paid booking: normally removed as soon as practical and generally within 24 hours.
  • Walkthrough files for confirmed pack-and-move bookings: normally up to 90 days after upload, unless needed for a complaint, claim, legal duty or dispute.
  • Operational booking details such as customer contact information, move addresses, notes and signatures: normally up to 12 months after the move, then deleted or anonymised.
  • Financial, payment, VAT, receipt and accounting records: retained for at least 6 years where required by HMRC, with operational customer details removed where they are no longer needed.
  • Complaints, claims, insurance and legal dispute records: normally up to 6 years after closure, or longer where lawfully required.
  • Analytics information: kept according to the settings of the analytics provider and only collected after consent.

9. Your rights

You have rights under UK data protection law. These can include the right to access your information, ask for inaccurate information to be corrected, ask for deletion, ask us to restrict use, object to certain processing, request portability where it applies, and withdraw consent where we rely on consent.

10. ICO and data protection fee

You can complain to the Information Commissioner's Office if you are unhappy with how we handle your information. The ICO website is ico.org.uk, and the ICO complaints route is at ico.org.uk/make-a-complaint.

11. Security

We use practical security controls designed to protect booking and payment information, including HTTPS, secure payment entry, access controls, limited staff access, admin authentication, retention controls and supplier security checks. No website can be completely risk-free, but we aim to keep personal information protected and available only to people who need it for the service.

12. Children and automated decisions

Our removal services are not directed at children. The online quote tool calculates a price from the details entered, but you can contact the office if you need help, a correction, or a manual review of the quote.
