Confirm every exit before the quote
Declutter before moving in London with a confirmed route plan
A donation bag, council web page or hopeful buyer does not remove an item from the move. Confirm who will accept it, how the handover works and what happens if that route fails.
At a glance
What this guide helps you organise
- Keep an item in the moving inventory until its alternative route is confirmed and usable.
- Record the recipient, acceptance evidence, handover conditions, target date and fallback for every proposed exit.
- Use the current council page for the property's postcode and the exact item, because London services and presentation rules differ.
- Complete bulky and uncertain routes before the removal inventory is frozen for the quote.
- Do not assume that Men With Van provides donation, recycling or waste collection unless the exact work is accepted in writing.
Start with the real load
Set the moving inventory boundary before sorting
Decluttering only changes a removal plan when an item has a confirmed alternative destination and will no longer be part of the load.
Begin with a plain list of what you currently expect to use at the new address. Include furniture, loose items, packed contents, garden items, storage contents and anything collected from another stop. That is the working removal inventory. Do not quietly subtract an item because you hope to sell it, offer it to a relative or arrange a council collection later.
A proposed exit is separate from a completed exit. The item stays on the working list until a named recipient or service has confirmed that it can accept the exact item, the handover conditions are workable and the completion date falls before your inventory freeze. If any one of those points is missing, keep enough space and time in the moving plan.
This guide is about completing alternative routes before a quote is final. It does not decide whether an unwanted object is legally waste. Use the removals and house clearance decision guide when the holder intends to discard an item, its next use is uncertain or a collection falls outside an ordinary removal.
The current House Removals London service page explains that the van count and booked time depend on the item list, access, route and practical loading plan. Removing items may change those inputs, but it does not guarantee a particular price, van count or duration. The final quote must reflect what will actually be present.
One board, visible dependencies
Build a route confirmation board for every proposed exit
A route board replaces loose donation bags and hopeful notes with evidence another person can check before the moving inventory changes.
Give each furniture item, box group or loose object a short identifier. Add one line to the board for every item you want to remove from the move. Keep the board on paper or in a shared file, but make the physical identifier match the record so nobody has to guess which chair, bag or appliance a confirmation covers.
| Field | Question to answer | Evidence to keep |
|---|---|---|
| Item | Which exact object or sealed group is leaving? | Identifier, description, quantity, condition and photograph where useful |
| Receiver | Who has authority to accept it? | Name of person, charity, council service, retailer or site |
| Acceptance | Has that receiver confirmed the item and condition? | Booking, message, reference or current acceptance rule |
| Handover | Where, when and in what prepared state must it be presented? | Address, slot, access rule, packaging note and responsible person |
| Fallback | What happens if the receiver refuses or the slot fails? | Alternative route, decision owner and latest review point |
| Removal status | Is it still in the working move list? | Requested, confirmed, completed or returned to the move list |
Use requested only while you are waiting for a real answer. Confirmed means the item, condition and handover have been accepted. Completed means the item has left your custody through that agreed route. If the route is cancelled or refused, return the item to the working move list or activate a lawful fallback instead of placing it beside the removal boxes.
Keep changes dated. The clear booking records guide shows how to keep route, item, access and booking information separate so an old photograph or earlier list is not mistaken for the current instruction.
Acceptance before handover
Confirm direct reuse and donation item by item
A recipient needs enough information to accept the actual item, not a vague promise of furniture, clothes or useful household goods.
Describe the item honestly. For furniture, include dimensions, visible wear, missing parts, cleanliness, whether it comes apart and the floor or stair access at collection. For boxed goods, state the type and approximate quantity without placing private or valuable details on the outside label. Send current photographs when the receiver asks for them.
Record what the recipient has accepted and what it has not. A charity shop, reuse project, neighbour, relative or buyer may have condition, size, category, access or collection limits. A booking request is not a promise that every item will be taken. Keep the item protected and available for inspection until the agreed handover is complete.
Agree who transports it. If the recipient collects, record the date, access instructions and person who can release the item. If you deliver it yourself, check the destination opening and acceptance rules before setting out. Never leave an item outside a shop, communal bin area or property merely because the intended receiver is closed or refuses it.
If you want an accepted reuse delivery assessed as a separate moving stop, give Men With Van the exact collection item, recipient address, access and timing before booking. The Man and Van London service can quote routes with extra stops when they are part of the agreed removal work. That does not mean the service accepts waste or guarantees that a third party will receive an item.
Direct reuse confirmation check
- The named recipient has seen an accurate description and condition.
- The exact item and quantity are accepted.
- Collection or delivery responsibility is clear.
- The time, address, access and contact are workable.
- A refusal or missed handover sends the item to a defined fallback.
Postcode and item first
Verify the current council route for the exact item
London borough services differ, so an old list or advice from another postcode cannot confirm what your own council will collect or accept today.
Start with the GOV.UK postcode services for recycling collections and large item collections, then continue to the council page for the property where the item is held. Search for the exact material or object. Check whether the route is a normal household collection, a booked bulky collection, a separate electrical service or a visit to a reuse and recycling centre.
Read the complete current instructions before booking. Record who may use the service, what items are accepted, how many items one booking covers, whether photographs or descriptions are required, where the item must be placed, when it may be presented and whether staff can enter the property. For a centre visit, check identity, residency, vehicle, trailer, permit and advance booking rules as well as opening information.
Current London examples show why this check matters. Waltham Forest separates large household items, large electrical items and reuse collections, with different presentation and access instructions. Barnet tells residents to check the accepted item list and place booked items at the front boundary under its current conditions. Lambeth directs large electrical items away from its small electrical collection route. These are examples of different service designs, not rules for every borough.
Do not take a hired or commercial vehicle to a household site without checking that the current rules permit the vehicle, visit and material. Do not assume a removal company can use a resident route on the customer's behalf. If a council route cannot accept the item, use its stated alternative or return the item to your unresolved list and consult the separate waste route guide.
Avoid one mixed pile
Separate reusable, electrical, bulky and special items
A single collection label hides the different acceptance checks that apply to a clean reusable chair, a broken appliance and an unknown container.
Keep the proposed routes physically separate. A clean item accepted for continued use should not be mixed with broken furniture. Electrical items should stay identifiable because a council, retailer or recycling centre may route them differently from ordinary bulky goods. Batteries, lamps, paint, oil, chemicals, building material and unidentified containers need the exact current council or specialist instruction rather than a general recycling label.
Do not promise condition you have not checked. Do not test an item unless you can do so safely and the check is useful. Keep available manuals or parts with the item, and state known defects. If a receiver requires an item to be complete, dry, clean, dismantled or kept indoors, follow that instruction without hiding damage or removing labels needed for acceptance.
Use separate containers and identifiers for small items. A sealed box marked only donate does not tell the recipient what is inside, and a black bag near moving boxes can be mistaken for either possessions or rubbish. Put the item identifier and route name on the handling unit, while keeping personal descriptions and contact details in the private board.
Keep clear access through the property while these groups wait. Do not block stairs, doors, fire routes, lift lobbies or the path needed for packing and carrying. Read the packing support service details to see what moving contents and packing needs should be shown before the crew arrives. An item on an unconfirmed exit route should not be packed as part of that service.
Work from dependencies
Sequence confirmations instead of following a fixed week plan
The right order comes from booking availability, recipient conditions and your quote deadline, not from a universal claim that every home needs the same number of weeks.
First identify the routes with external dependencies. Bulky collection availability, a charity assessment, a buyer visit, an electrical collection or a recycling centre booking can each determine when an item can leave. Ask for those confirmations before spending time packing goods that may not move.
Next complete simple handovers that are already accepted, provided they do not remove anything needed before moving day. Mark each item completed only when it has actually left through the agreed route. Keep receipts, booking references or handover messages where they help explain what happened, but do not publish personal details on labels or shared photographs.
Set an inventory freeze with the person responsible for the removal booking. It should leave enough time to send an accurate final item list, update large item dimensions, confirm extra stops and review whether the expected vans, movers and hours still match the job. If you are already quoted, ask how and when to submit a material inventory change rather than assuming the earlier total automatically updates.
Finally, activate fallbacks before the freeze. A rejected donation, missed buyer or unavailable council slot is still an item at the property. Decide whether it genuinely moves to the new address, remains with an authorised person, or needs another lawful route. Do not hide the uncertainty by packing it into an unlisted box.
Inventory freeze gate
- Every proposed exit has a receiver and workable handover.
- Completed items are no longer at the property.
- Confirmed items will leave before the agreed freeze.
- Failed routes have been returned to the working list or given a lawful fallback.
- The physical rooms and the final list agree.
Count what remains
Reconcile the final inventory with the removal quote
The smaller list is ready only after a physical check shows that the property, route board and quote record describe the same remaining load.
Walk every room and storage area with the current list. Check cupboards, loft or cellar space, balcony or garden items, communal storage, sheds and anything held at another pickup point. Count sealed boxes and loose pieces. Mark late additions plainly instead of assuming spare van space will cover them.
Update the dimensions, photographs and handling notes for large or awkward items that remain. Confirm stairs, lifts, parking, carrying distance and the destination room. A reduced item count may still need the same access plan, crew or time, so keep inventory and access decisions separate.
Use the moving quote and van planning guide to rebuild the estimate from the current items, route and access. If a confirmed donation delivery is an agreed extra stop, include its address and timing. If the receiver may refuse the item on arrival, disclose that uncertainty before the route is accepted.
The London removal company comparison page recommends giving every provider the same inventory and job details. Use the reconciled list for each quote so differences in scope are visible. Do not compare one quote based on the original contents with another based on a partly completed clear out.
The practical next step
Send Men With Van the stable moving brief
The final brief should describe what is moving, every accepted stop and the real access, while leaving other collection routes with their responsible providers.
Send the collection and delivery addresses, any agreed extra stops, the final furniture and box list, floor levels, lifts, stairs, parking, carrying distances, large item dimensions, dismantling needs, packing choice, preferred timing and one contact who can answer scope questions. State the date of the inventory check.
Keep the route board for reuse, donation and council services, then share only the details that affect the removal. For example, a booked council collection may matter because items are staged near the entrance, while its private booking reference does not need to become part of the removal record. Make sure each provider can reach its own items without crossing or taking another group's load.
If anything remains uncertain, do not declare the declutter complete. Put the item back on the working list, revise the quote if necessary and use the correct separate route. A clean record is more useful than an optimistic count that changes at the van door.
Once the inventory and access are stable, start the Men With Van quote. The next step is not to choose a van from the number of donation bags that left. It is to price the actual remaining job from the route, contents, access, crew and time.

Common questions
Questions about decluttering before a London move
When should I declutter before a London move?
Start before the removal inventory is final, but plan from real dependencies rather than a fixed number of weeks. Check recipient acceptance, council booking availability and handover conditions early enough to complete or replace those routes before the quote and packing list are frozen.
Can Men With Van deliver accepted donations during my move?
An accepted reuse delivery may be assessed as an extra stop when you provide the exact items, recipient address, access and timing before booking. It is included only if Men With Van confirms the work in the written quote. This does not turn discarded goods into ordinary removal items.
What if a charity, buyer or council service refuses an item?
Return the item to the working moving list or activate the recorded lawful fallback. Do not leave it outside, add it to another provider's load or call the route complete. If the holder intends to discard it, use the separate removals and house clearance guide to choose the correct authorised route.
Should I use the council service at my old or new address?
Start with the council for the property where the item is currently held and enter that postcode into the GOV.UK service. Confirm the exact item, resident eligibility, booking and presentation rules on the live council page. Do not assume the destination borough follows the same process.
Must decluttering be finished before I request a removal quote?
You can request a quote while decisions are open, but the inventory must state what is currently expected to move. Tell the company which exits are still provisional and update material changes before booking or within the agreed amendment process. Never rely on an unconfirmed donation or collection to reduce the quoted load.
